Help - My Animals (Main Animals) -- Add, Edit and View Details

Purpose

The "My Main Animal Records" is for viewing and recording the incoming and outgoing animal activity of the main animals. Normally, this will be used to record main or long-term animals. Short-term animals can be entered here too. Any animal that is to be tracked for pedigrees, feed usage, breeding, production, medical, or income and expense should be entered in this area.

It is not necessary to enter every animal. Breeding animals and animals that need to be tracked specifically should be entered in this section. Offspring of breeding animals that are only for selling or production do not need to be entered in this section unless specific tracking or details for each animal are wanted.

Adding and Editing Data

To add a new animal click on "+ Add New", to edit click on "Edit".

Animals can be entered as individuals, or as a quantity for groups or litters. For example, 24 hens can be recorded as one entry. An entire litter of rabbits can be recorded as one entry, The name given to the hens or litter is the hatch or birth date and what the animal is used for (Layer Hens) or (Market Pens).

Field Names and Descriptions

Field Description
Animal Type (Required entry) Select an animal type from the drop down list. Most common animals are listed. Select "Other" if the desired animal type is not listed.
Sub Type Type in the name of the breed or variety of the animal. If the animal type is chicken then a possible value for this field could be White Rock, or Rhode Island Red, etc...
Qty (Required entry) Enter the quantity of animals that this entry represents. For breeding animals this entry will normally be 1. If entering for a group of laying hens or feeder pigs then then entry can be more than 1.
Name (Recommended Entry) Enter the animal's name. The maximum length of this field is 25 characters.
Photo Select a photo of the animal. Photo will be resized on server.
Date Of Birth Select the date of birth or the hatch date.
Father Select the father. Unknown is an acceptable entry. For pedigrees it is recommended to enter the oldest column of a pedigree first then the proceed to the next younger generation so the parent will be available in the animal list.
Mother Select the mother. Unknown is an acceptable entry. For pedigrees it is recommended to enter the oldest column of a pedigree first then the proceed to the next younger generation so the parent will be available in the animal list.
Acquired Date (Required entry) Select the date animal was acquired. For animals that are not purchased enter the birth date. For animals borrowed or used for breeding enter the date borrowed. When entering animals you do not own on the pedigree it is recommended to enter the date you aquired the rabbit or pedigree.
Acquired By Select the method of acquisition.
Purchase Price Enter the purchase price of this animal.
Sex Enter Male, Female, or Unknown. Unknown can also be used for groups of animals or when the quantity is more than one.
Fixed or Not for Breeding Check this box if the animal is fixed or will never be used for breeding. Checking this box prevents this animal from being used in breeding reports and calculations.
ID Number (Recommended Entry) Enter the animal's identification number (ear tag, leg band, tattoo, etc...) The maximum length of this field is 25 characters.
ID Left (Recommended Entry) Enter the animal's left identification number (ear tag, leg band, tattoo, etc...) The maximum length of this field is 10 characters. It is recommended to enter this number in the ID Number field if you do not already have another ID or name for the animal. This will make the printed pedigrees look nicer.
ID Right Enter the animal's right identification number (For Rabbits this would be the ARBA Registration Number) The maximum length of this field is 10 characters.
Show--legs This field is provided for rabbit owners that show rabbits at ARBA shows.
Show--Grand Champion This field is provided for rabbit owners that show rabbits at ARBA shows.
Weight This field is used to show the finished weight of an animal on a pedigree. This field is only used for printing pedigrees.
Weight Type Select a weight type, Pounds or Kilograms.
Ownership Select Owned or Not Owned.
Departure Date Select the date of the animals departure.
Departure By Select the method of departure. If the animal was sold or used for production then enter the relevant information in the "Production" or "Financial Income" entry forms.
Notes Field length is unlimited. Use this area to record details which need a detailed explanation.

Examples

Example 1 -- Selling An Animal Already In Database

To record the sale of an animal is a two step process
Step-1 Record Sale in the Income Section
  • Open the Income Journal entry screen by clicking on the Financial menu item
  • Select "+ Add New" record
  • Enter the information specific to the sale.
Step-2 Record Departure as a Sale
  • Open the "My Main Animal Records" entry screen by clicking on the "Animals" menu item
  • Select "Edit" for the specific animal's record.
  • Select the "Departure Date" -- same as the sale date.
